RCM Languages is committed to protecting your privacy and handling personal information responsibly.

This Privacy Policy explains what personal information I collect, why I collect it, how it is used and stored, who it may be shared with, how long it is retained, and the rights you have in relation to your personal information.

The personal information I collect depends on how you interact with RCM Languages.

Website enquiries

If you contact me through the RCM Languages website, I may collect:

language of interest;

type of tuition required; and

information you choose to provide about the support you are looking for, such as the student's level, year group or examination board.

Please avoid including unnecessary sensitive or medical information in the website enquiry form.

Clients and students

If you proceed with tuition, I may collect and retain information including:

parent or guardian name;

student name;

email address;
-
telephone number;
-
age or date of birth, where relevant;

school year;
-
school, where relevant;
-
examination board;
-
current or target grades;
-
academic strengths and areas for development;
-
information about learning needs or additional support requirements where relevant;

attendance and lesson records;

notes about learning and progress;

homework or other work submitted for feedback;

progress reports;

correspondence relating to tuition; and
-
information required to arrange and administer lessons.

For adult students, I collect only the information relevant to arranging and providing their tuition.

I do not routinely collect clients' home addresses.

Website and technical information
Â
When you use the RCM Languages website, certain technical and usage information may be collected automatically by Wix and other website technologies. This may include information such as your IP address, browser or device information, referring pages, and information about how the website is used.

3. Information About SEND, Disabilities and Health

You may choose to tell me about a student's SEND, disability, health condition or other additional need where this is relevant to their tuition.
Â
Some of this information may constitute special category personal data, particularly where it reveals information about a person's health or disability.
Â
I will only collect information that is relevant to supporting the student and will take particular care when handling this information.
Â
Where required, I will seek explicit consent to retain and use special category information for the purpose of adapting and supporting tuition. Consent may be withdrawn by contacting me, although this will not affect processing that has already lawfully taken place.
Â
Students and parents are not required to provide unnecessary medical or diagnostic information.

4. How I Collect Personal Information

Information may be provided to me:

I may also receive limited information through publicly available reviews or tutoring platforms where a client has previously chosen to leave feedback.

5. How I Use Personal Information

I may use personal information to:

assess whether I can provide appropriate tuition;

communicate with students and parents;

tailor tuition to a student's level, needs and goals;

set and provide feedback on work;

monitor attendance and progress;

administer GCSE group tuition;

create and manage Google Drive folders and Google Classrooms;

arrange lessons through Google Meet;

issue invoices and maintain payment records;

manage cancellations and changes to tuition;

maintain appropriate safeguarding records where necessary;

respond to complaints or concerns;

comply with legal, regulatory, tax or safeguarding obligations; and
-
establish, exercise or defend legal claims where necessary.

I do not currently use student or parent information for email marketing or newsletters.

If this changes in the future, appropriate information and choices will be provided before personal information is used for marketing purposes.

6. Lawful Bases for Processing
Â
Under UK data protection law, I must have a lawful basis for processing personal information.
Â
Depending on the circumstances, I may process personal information because:

Contract: the information is necessary to take steps at your request before entering into a tuition agreement or to provide tuition under an existing agreement;

Legal obligation: I am required to process or retain certain information to comply with the law, including financial and tax obligations;

Legitimate interests: processing is reasonably necessary for the proper administration and operation of RCM Languages, provided those interests are not overridden by the rights and interests of the individual concerned; or

Consent: you have given consent for a particular use of your information where consent is appropriate.

Where special category information is processed, an additional condition under data protection law is required. Where appropriate, this will normally be explicit consent.

7. Children's Personal Information
Â
Many students receiving tuition from RCM Languages are under 18.
Â
I recognise that children's personal information requires particular care and will only collect and use information that is reasonably necessary for providing tuition, administering the service, safeguarding students or complying with legal obligations.
Â
For students under 18, administrative matters such as bookings, payments and cancellations will normally be handled through a parent or guardian.
Â
Students may contact me directly for legitimate educational purposes, such as asking questions about their work or accessing resources.

8. Payments and Financial Information
Â
Tuition payments are made by bank transfer.
Â
I do not collect or store clients' debit or credit card details.
Â
My bank may provide information relating to payments received, such as the payer's name, payment reference, amount and date.
Â
Invoices are created using document software and may be stored securely on my computer and within my RCM Languages Google account.
Â
Financial and transaction records may be retained for the period required for tax, accounting and legal purposes.

9. Google Services
Â
RCM Languages uses Google services to provide and administer tuition.
Â
These may include:

Google Meet for online lessons;
-
Google Drive for individual student resources and work;
-
Google Classroom for group tuition;
-
Gmail/Google Workspace for email communication; and
-
other Google Workspace functions where reasonably necessary.
Â
1:1 students may be provided with an individual Google Drive folder.
Â
Students participating in group tuition may be provided with access to a Google Classroom. Settings will be used where reasonably possible to minimise unnecessary sharing of students' personal information with other group members.

10. Wix and the RCM Languages Website
Â
The RCM Languages website is hosted and operated using Wix.
Â
When you visit the website or submit an enquiry through a Wix form, Wix may process personal information on my behalf as a service provider. This may include information you enter into forms as well as certain technical and usage information associated with your visit.
Â
Information submitted through the website may be stored within Wix's systems and made available to me through my Wix account.
Â
Wix acts as a data processor in relation to certain personal information it processes on behalf of RCM Languages. Wix may also process information for its own purposes in accordance with its own privacy policy.

Wix may use cookies and similar technologies when providing the website. Further information about these technologies and the choices available to visitors is provided in the RCM Languages Cookie Policy.

11. Email, Messaging and Social Media
Â
Clients and prospective clients may communicate with me through email, SMS, WhatsApp or RCM Languages social media accounts, including Instagram and Facebook.
Â
Messages may remain within the relevant communication service and on the devices used to access it.
Â
Where WhatsApp, Instagram, Facebook or another third-party communication service is used, the relevant provider may process personal information in accordance with its own privacy arrangements.

Please avoid sending unnecessary sensitive or special category information through messaging or social media services.

12. Paper and Local Records
Â
Some lesson, attendance or progress notes may be kept in a paper notebook.
Â
Digital records may also be stored locally on my password-protected computer.
Â
Reasonable steps are taken to prevent unauthorised access to personal information, including appropriate device security, account security and secure storage of paper records.

13. Safeguarding Information
Â
Where a safeguarding concern arises, I may need to create and retain a written record containing relevant personal information.
Â
Safeguarding information will be handled carefully and, where appropriate, separately from ordinary teaching records.
Â
Information may be shared with appropriate safeguarding authorities, emergency services, a child's parent or guardian, or another relevant person or organisation where this is necessary and lawful to protect a child or another individual.

14. Who I Share Personal Information With
Â
RCM Languages is currently operated solely by Rochelle Marsh. I do not employ other tutors or administrative staff who routinely have access to client or student information.
Â
Personal information may, where necessary, be processed or shared with service providers used to operate RCM Languages, including:

Wix;

Google/Google Workspace;
-
WhatsApp, Instagram and Facebook (Meta);
-
email and telecommunications providers;
-
banking providers; and
-
other technology providers reasonably required to provide the service.

I may also disclose information where required by law or where reasonably necessary for safeguarding, the prevention or detection of crime, legal proceedings, or the protection of someone's vital interests.

I do not sell personal information.

15. International Data Transfers
Â
Some of the technology providers used by RCM Languages may process personal information outside the United Kingdom.
Â
Where this happens, appropriate safeguards or recognised transfer mechanisms are used where required by UK data protection law. These may include transfers to countries recognised as providing an adequate level of protection or the use of approved contractual or other transfer mechanisms.

16. How Long I Keep Personal Information
Â
I do not keep personal information for longer than is reasonably necessary.
Â
The appropriate retention period depends on the type of information and why it is held.
Â
As a general approach:

Enquiries that do not result in tuition: normally deleted within approximately 12 months of the last meaningful contact, unless there is a legitimate reason to retain them for longer.

Routine student and tuition records: normally retained for a reasonable period after tuition ends where necessary for continuity, responding to queries, record keeping or potential legal claims, after which information that is no longer required will be securely deleted or destroyed.

SEND or health information: retained only for as long as reasonably necessary for the purpose for which it was provided, unless there is another lawful reason to retain it.

Financial records and invoices: retained for the period required by HMRC and other applicable legal requirements.

Safeguarding records: may need to be retained for longer than ordinary teaching records due to the nature of the information and safeguarding requirements.

Information may be retained for longer where there is an ongoing complaint, dispute, safeguarding matter, legal requirement or other legitimate reason requiring continued retention.

17. Testimonials and Reviews
Â
Clients may choose to provide feedback or leave reviews about RCM Languages.
Â
I will not ordinarily publish a client's full name alongside a testimonial on the RCM Languages website without appropriate permission.
Â
Existing testimonials may be displayed using limited identifying information, such as a first-name initial, where appropriate.
Â
Where new feedback is requested specifically for publication on the RCM Languages website, I will make clear that it may be used as a testimonial and how the reviewer will be identified.
Â
Where reviews are published independently on third-party platforms, such as Google or other review services, the platform's own privacy arrangements also apply.

If you have previously provided a testimonial displayed on the RCM Languages website and would like it removed, please contact hello@rcmlanguages.co.uk.

18. Photographs and Recordings
Â
I do not routinely collect photographs, screenshots, audio recordings or video recordings of students.
Â
Online lessons are not routinely recorded.
Â
Any exceptional use of a photograph or recording would be considered separately and appropriate permission or consent obtained where required.

19. Keeping Information Secure
Â
I take reasonable steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure.

These measures include, where appropriate:

password-protected devices;
-
password-protected online accounts;
-
access controls;
-
limiting access to personal information;
-
secure storage of paper records; and
-
using established service providers for online systems.
Â
No method of electronic storage or communication can be guaranteed to be completely secure, but reasonable precautions are taken to protect the information held.

20. Your Data Protection Rights

Depending on the circumstances, UK data protection law may give you rights including:

the right to be informed about how your information is used;
